If you have an important email, you may decide to make a backup of it. This can be useful if you think you are about to lose access to your workplace Gmail account, plan to delete all emails from your account, or link the email to another email. So how do I download emails from Gmail for this purpose? This is what this article will discuss.

Immediate response

This can only be done on the Gmail desktop. Open the questionable email and click the button Suite Button (denoted by three vertical dots). Then select Download the message. It will be downloaded as an EML file and will only open in local email clients such as Outlook, Thunderbird, iOS Mail or macOS Mail.

Google does not currently offer email downloads on its mobile app. So you need to put your mobile down and go to the desktop computer to connect with your Gmail account.

Find the email you want to download and open it. Then look to the right and click Suite Connection, which is three vertical points. One of the options out there will tell Download the message. Select it.

It will then be downloaded as an EML file to your computer.

If you have multiple emails to download, you may need to repeat this process for each one. Gmail does not allow you to download multiple emails at once. One solution is to use IMAP to download all emails from your Gmail account to your local email client. Then remove the junk you need to keep.

After downloading the email from Gmail, how do I open it again?

Except through IMAP, there is no way to upload them to your new Gmail account. So you need a local email client to view these downloaded EML files. If you have an Apple device, for example, you may already have iOS Mail or MacOS Mail installed. If you have a Windows device, Outlook or Thunderbird may be your choice.

Can Gmail emails be downloaded in a format other than EML?

No, but when you have the file on your computer, you can change the file format yourself, such as TXT. But email with metadata and HTML is likely to be confusing.
